Nacka – a municipality with digital success

The Nacka Municipality is one of Sweden’s largest municipalities. With the number of residents constantly growing, there was a high demand for efficient municipal services. Working with a professional and proactive IT provider became crucial in managing the high level of digitalization required.

To attain more innovation and flexibility in their IT operations, the municipality conducted an IT procurement three years ago. In January 2016, an agreement was signed with Basefarm, who were then given the responsibility for operating Nacka’s IT infrastructure and the municipality’s IT operations system.

SEVERAL NEW DIGITAL SERVICES

The fast growth rate in Nacka means that there is a constant need to improve municipal services. Which further implies, that there is a constant demand to develop new digital services.

“We are constantly expanding our digital portfolio and it is important that we have a supplier that handles operations, upgrades and everything else concerning operations in a secure and efficient manner so that our personnel can instead work with value creation and more qualified activities, and so that they can conduct long-term planning and develop new digital services,”

says Brita Rösblad, technical manager at the digitalization unit in the Nacka Municipality.

Valuable with proactivity

In addition to assisting the municipality with IT operations, Basefarm also provides support in the form of strategic advice regarding Nacka’s IT environment.

“We feel that Basefarm is proactive; they often come up with future-oriented suggestions on how we can exploit new technical opportunities moving forward,” says Brita Rösblad.

Good collaboration

In order to achieve optimal IT operations, the Nacka Municipality has several partners.

Among the key factors in maintaining optimal collaboration and coordination between the different IT suppliers are regular meetings and forums where the parties can meet.

“In our collaboration with Basefarm, there is continuity and solid knowledge of our operations,” says Brita Rösblad. “We have a customer team, but there are also several other contact surfaces depending on whether we are holding operational or strategic meetings, or projects, and when necessary we can bring in additional expertise. It works very well.”

Good communication

Brita Rösblad believes that the success factors in the collaboration with Basefarm are based on a solid tender dossier where the municipality clearly specified what they wanted help with. This enabled consensus to be attained with the supplier. Furthermore, good communication between the parties is necessary.

“We strive for clarity and sharing what is important to us,” says Brita Rösblad. “This makes it much easier for the supplier to prioritize and evaluate a task or problem we’re having. We feel that Basefarm in turn is responsive to our needs and conveys relevant information to us.”

Tips for other municipalities:

  • Develop a well-prepared procurement dossier.
  • Determine how you want to work with the supplier and which requirements you have.
  • Be clear in communicating with the supplier.
  • Spend time meeting and setting up frameworks for working together throughout the contract period.
  • Be clear about what is important for the smooth operation of your organization.
  • Establish joint work forums to achieve better collaboration.
